Cancellation & Refund Policy

This policy explains when you can cancel a translation request, how started custom work affects the outcome, and how approved refunds are returned.

1. Scope and operator

This Policy applies to custom document translation services ordered from KabayanXpress, operated by Lexcode Inc. It forms part of the Terms of Service and does not restrict a cancellation, withdrawal, refund, or other remedy that cannot be waived under applicable law.

2. Before payment

You may cancel an unpaid request without charge through the request tracker when that option is available or by contacting service support. Because no payment has been captured, there is no amount to refund. The request is removed from the active translation queue in accordance with the service workflow and applicable retention rules.

3. After payment and before work starts

Contact us promptly if you wish to cancel a paid request. If translation, review, certification, notarization coordination, printing, or delivery preparation has not started, we will cancel the request and refund the service amount paid, including any amount that applicable law requires us to return. A payment provider may need additional time to post the credit after we issue it.

4. After custom work starts

Translation is prepared specifically from your documents and instructions. Once performance has started, cancellation may not be available for the completed portion where applicable law permits that limitation and the required notice and consent were provided. For divisible services, any refundable amount will take account of the portion not yet supplied and costs that are lawfully non-refundable.

We will tell you the request’s current production status and the refund calculation before finalizing a cancellation. We do not use this section to limit a remedy for work that is defective, materially different from what was ordered, or otherwise non-conforming.

5. Completed or delivered work

A change of mind does not ordinarily produce a refund after a conforming custom translation has been completed or delivered, to the extent permitted by law. If you believe the result does not match your confirmed order, send us the control number and a clear description of the issue so we can assess a correction, re-performance, price reduction, or refund as required by law and appropriate to the issue.

6. Errors and non-conforming service

Report suspected mistranslations, missing content, incorrect names or numbers, wrong language pairs, or an omitted paid option as soon as reasonably possible. Include the control number and identify the affected passage without sending sensitive files through an unsecured channel.

We will compare the delivered work with the source documents and confirmed instructions. Where the service is non-conforming, we will provide an appropriate correction, re-performance, price reduction, or refund. Under Korean electronic-commerce law, statutory remedies may apply when goods or services differ from their description or the contract; this Policy does not shorten any applicable statutory period.

7. Amounts that may not be refundable

  • A completed portion of custom translation, review, or certification work, where non-refundability is permitted by law.
  • Notarization, courier, printing, or third-party charges already and irrevocably incurred for your request.
  • A discount or voucher value that was not paid in money; reinstatement is governed by the voucher’s valid terms.
  • Currency-conversion differences or fees charged independently by your bank or payment method, unless applicable law requires otherwise.

8. How to request cancellation or correction

Use the cancellation control in your secure request tracker when available. You may also email pm@kabayantranslate.com with the subject “Cancellation request” or “Correction request” and include your control number, the email address used for the request, and a short explanation. Do not include payment-card details.

We may verify your identity before changing the request or issuing funds. A request is effective when it is sent through an available electronic cancellation channel or received by us, subject to applicable law.

9. Refund method and timing

Approved refunds are initiated through Eximbay and, where applicable, the original payment method. We will send a cancellation notice and a refund-processed notice using the contact details on the request. We aim to begin the operational refund process on the next business day after approval.

Where Korean electronic-commerce law requires a refund within a specific period, that period controls; for qualifying cancellations of services, the statutory period is generally three business days from the valid cancellation. The time for a posted credit to appear can vary by card company, bank, wallet, currency, and cross-border payment network.

10. Failed, duplicate, or unauthorized payments

If the tracker does not show a successful payment, do not repeatedly pay without checking the request status. Contact us about duplicate charges, a payment captured for a failed order, or suspected unauthorized use. Payment confirmation is based on Eximbay’s verified server status, and duplicate callbacks do not create a second fulfillment. We will investigate with Eximbay and provide any refund or payment correction due.

11. Statutory withdrawal rights

Korean electronic-commerce law generally provides a seven-day cancellation period in covered transactions and additional remedies where the supplied service differs from its description or contract. Exceptions and limitations can apply after services begin or for custom or digital performance, but only when the legal requirements for those limitations are met. Mandatory rights under the law applicable to you prevail over an inconsistent sentence in this Policy.
